This document describes how Ranane Nixuxu collects, processes and protects personal data in accordance with Regulation (EU) 2016/679 (RODO/GDPR) and the Polish Act on Personal Data Protection of 10 May 2018.

We process personal data on the following legal grounds as specified in Article 6 of RODO:
Article 6(1)(a) — consent, where you have freely given specific, informed and unambiguous consent to processing for a defined purpose (for example, when submitting the contact form with the privacy checkbox selected, or when accepting optional cookies).
Article 6(1)(b) — performance of a contract or pre-contractual steps at the request of the data subject, applicable when you register interest in attending the workshop or when we process your data to fulfil a training agreement.
Article 6(1)(c) — compliance with a legal obligation, where processing is necessary to fulfil obligations under Polish tax law, accounting law or other applicable regulations.
Article 6(1)(f) — legitimate interests of the controller, specifically for security logging and fraud prevention, where these interests are not overridden by the rights and freedoms of the data subject.
We collect only the personal data necessary for the specific purpose described. The categories are as follows:
Contact enquiry data: full name, organisation or farm name, email address, telephone number and the content of your message, collected when you submit the contact form.
Workshop participant data: name, contact details, farm location, any dietary or accessibility requirements you provide voluntarily, and a record of topics covered during the workshop for the purpose of issuing a completion record.
Technical and usage data: IP address, browser type, operating system, pages visited and timestamps, collected automatically through server logs for security and operational purposes. This data does not identify you personally without additional information.
Cookie-related data: your cookie consent preferences are stored locally. If you accept analytics cookies, aggregated usage statistics are collected. See the Cookie Policy for details.
Personal data is processed for the following purposes:
Responding to enquiries: when you contact us through the website form or by email, we use your name, contact details and message content to respond. Data is retained for the duration of the correspondence and for up to two years thereafter for reference.
Workshop administration: for registered participants, we process contact and farm details to confirm participation, send preparatory materials, issue completion records and maintain training records as required by any applicable regulatory or funding requirements.
Website security and technical operation: server log data is processed to monitor for security incidents, prevent unauthorised access and maintain website functionality. Logs are retained for a maximum of 90 days unless a security investigation requires longer retention.
Legal compliance: where required by Polish accounting law (Ustawa o rachunkowości) or tax regulations, we retain financial transaction records for the period specified by law, currently five years from the end of the financial year in which the transaction occurred.
We do not sell, rent or trade personal data with third parties for commercial purposes.
Data may be shared with the following categories of processors under appropriate data processing agreements:
Hosting and infrastructure: the website is hosted on servers operated by a European hosting provider. The hosting provider processes technical data (server logs, file storage) under a data processing agreement and does not access personal content for its own purposes.
Email service: email correspondence is processed through our email provider. Email providers are instructed not to process content for advertising or profiling purposes.
Legal and regulatory authorities: we may disclose personal data to Polish public authorities, courts or law enforcement agencies where we are legally required to do so, or where such disclosure is necessary to protect the rights and safety of individuals.
We do not transfer personal data to countries outside the European Economic Area. If this changes, we will update this policy and ensure appropriate safeguards are in place.
We retain personal data only for as long as necessary for the purpose for which it was collected:
Contact enquiry correspondence is retained for two years from the date of the last communication in the thread, then deleted.
Workshop participant records are retained for five years from the date of the workshop to support any follow-up enquiries, funding audit requirements or repeat attendance records.
Financial and billing records are retained for the period required by Polish tax and accounting law (currently five years from the end of the financial year).
Server security logs are retained for 90 days.
Cookie consent records are retained for 12 months from the date of consent.
As a data subject under RODO, you have the following rights:
Right of access (Article 15): you may request confirmation of whether we process personal data about you and, if so, a copy of that data along with information about the processing.
Right to rectification (Article 16): you may request correction of inaccurate personal data or completion of incomplete data.
Right to erasure (Article 17): you may request deletion of your personal data where it is no longer necessary for the purpose for which it was collected, where you withdraw consent (and there is no other legal basis), or where the data has been unlawfully processed.
Right to restriction (Article 18): you may request that we restrict processing of your data while a dispute about accuracy or legality is resolved.
Right to data portability (Article 20): where processing is based on consent or contract and carried out by automated means, you may request your data in a structured, machine-readable format.
Right to object (Article 21): you may object to processing based on legitimate interests. We will cease processing unless we demonstrate compelling legitimate grounds that override your interests.
Right to withdraw consent: where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.

We implement appropriate technical and organisational measures to protect personal data against accidental loss, alteration, unauthorised disclosure or access. These include encrypted connections (HTTPS) for all web traffic, access controls limiting data access to individuals who require it for their role, and regular review of data handling practices.
No transmission of data over the internet is entirely secure. While we take reasonable precautions, we cannot guarantee absolute security of data transmitted to our website.
We do not use personal data for automated decision-making or profiling as defined in Article 22 of RODO. No decisions with legal or similarly significant effects are made about you based solely on automated processing of your data.
This website and our workshop programme are directed at adults engaged in professional agricultural activity. We do not knowingly collect personal data from individuals under the age of 16. If you believe a minor has submitted data to us, please contact us at [email protected] and we will delete it promptly.
We may update this Privacy Policy from time to time to reflect changes in our data practices or applicable law. When we make material changes, the Last Updated date at the top of this document will be revised. We encourage you to review this policy periodically. Continued use of the website after a change is posted constitutes acceptance of the updated policy.
